Look for end-to-end capability, not just coordination
There is a meaningful difference between an event coordination company and an event production company. Coordinators book vendors on your behalf. Production companies take ownership of the outcome. Ask directly: who holds the production schedule, how are specialist systems resourced, and who remains accountable on event day? One production lead gives you tighter quality control and fewer points of failure.
Ask for a dedicated point of contact
One of the most common complaints about event companies is being handed off between coordinators. Insist on a single point of contact who will own your event from brief to delivery, and confirm this in writing.
Demand transparent, line-item budgeting
Any reputable event company in India should be able to provide a full line-item budget, broken down by venue, AV, decor, catering, staffing, logistics and their own management fee. Avoid companies that provide only lump-sum quotes with no breakdown.
Verify city-specific experience
India's event market varies significantly by city. A company with strong Mumbai credentials may not have the vendor network needed to deliver in Hyderabad or Jaipur. Ask for specific examples of events delivered in your chosen city.
Red flags to watch for
